Mastering the Digital Wallet
Once your Futurepreneurs project is funded and your teacher-mentor approves a milestone drawdown, the money lands in your digital wallet. This is not a bank account you can spend from freely — it is a controlled spending system designed to keep you and your backers safe.
This guide explains exactly how the wallet works, what the spending limits are, how the approval process flows, and how to submit requests that get approved quickly.
How the Wallet Works
Your Futurepreneurs wallet is powered by Stripe Treasury and Issuing. In plain English, that means:
- Your funds sit in a secure financial account managed by Stripe (a trusted payment company used by millions of businesses)
- You get a virtual debit card linked to your wallet
- The card is frozen by default — it only unfreezes for a 30-minute window after a spending request is fully approved
- Every purchase is tracked and visible to you, your parent, and your teacher-mentor
This system exists because Futurepreneurs handles money raised from the public for young people's businesses. The controls protect you, your backers, and the platform.
The Dual-Approval Flow
Every spending request goes through a two-step approval process. Here is the full flow:
Step 1: You submit a spending request
You describe what you want to buy, how much it costs, and which milestone it relates to. You include a link to the product or a screenshot of the price.
Step 2: Your parent reviews and approves
Your parent receives a notification and can see the request in their dashboard. They approve or reject it. If they reject it, you will see their reason and can submit a revised request.
Step 3: Your teacher-mentor reviews and approves
Once your parent approves, the request goes to your teacher-mentor. They check that the purchase aligns with your project milestones and budget.
Step 4: Cooling-off period
After both approvals, there is a short cooling-off period. This gives everyone a final chance to reconsider before funds are released.
Step 5: Card unfreezes for 30 minutes
Your virtual card activates for a 30-minute spending window. During this window, you can make the purchase — online or in-store using contactless on your phone.
Step 6: Card automatically refreezes
After 30 minutes, or after the approved amount is spent, your card automatically refreezes. This prevents any unauthorised spending.
Velocity Limits
Even with dual approval, your wallet has hard spending limits to prevent misuse:

What this means in practice:
- You cannot spend more than £100 in a single purchase, even if your wallet balance is higher

- You cannot spend more than £200 in a rolling 7-day period
If you need to make a larger purchase (e.g., equipment costing £150), you will need to discuss this with your teacher-mentor. They can help you find alternatives, such as splitting the purchase across weeks, finding a cheaper option, or arranging for the school to make the purchase on your behalf.
MCC Restrictions (Where You Can Spend)
Your Futurepreneurs card is restricted to specific types of shops and businesses. This is done through Merchant Category Codes (MCCs) — a system that classifies every business by what it sells.
Allowed categories include:
- Stationery and office supplies
- Craft and hobby shops
- Supermarkets and grocery stores (for ingredients and materials)
- Online retail (Amazon, Etsy suppliers, Hobbycraft, etc.)
- Printing and copying services
- Hardware and DIY stores
- Software and digital subscriptions
Blocked categories include:
- Gambling and betting
- Alcohol and tobacco
- Adult entertainment
- Cash advances and ATM withdrawals
- Travel and airlines (unless specifically approved)
- Jewellery stores (unless your business is jewellery and it is pre-approved)
If your card is declined at a shop that should be allowed, it may be a miscategorised merchant. Contact your teacher-mentor and they can flag it for review.
How to Submit a Spending Request That Gets Approved Fast
The faster you get approved, the faster you can buy what you need. Here is how to write a spending request that sails through:
1. Be specific about what you are buying
Weak: "I need to buy supplies"
Strong: "I need to buy 2 kg of soy wax flakes (£12.00) and 24 glass candle jars (£18.00) from Amazon"
2. Include the exact amount
Your request should match the actual price of the items, including any delivery charges. Check the current price before submitting — do not guess.
3. Link it to a milestone
Every spending request must be connected to one of your project milestones. Explain which milestone the purchase supports.
Example: "This purchase is for Milestone 2: 'Produce first batch of 24 candles.' The wax and jars are the core materials needed."
4. Provide evidence
Include a link to the product page, or attach a screenshot showing the price. This makes it easy for your parent and teacher to verify the cost without doing their own research.
5. Explain why this supplier
If you have chosen a specific supplier, briefly explain why. "Amazon has the best price I found — Hobbycraft sells the same wax for £15, and The Range does not stock it."
A Perfect Spending Request Example
What I want to buy: 2 kg soy wax flakes and 24 x 200ml glass candle jars
Total amount: £30.00 (£12.00 wax + £18.00 jars, free delivery with Prime)
Supplier: Amazon UK
Product links: [link to wax] [link to jars]
Related milestone: Milestone 2 — Produce first batch of 24 candles
Why this purchase: These are the two core materials for my first production batch. I compared prices at Hobbycraft (£35 total) and The Range (no stock). Amazon is the cheapest option with next-day delivery.
A request like this gets approved in hours, not days. Your parent sees exactly what you are buying and why. Your teacher sees it aligns with your milestone. No back-and-forth needed.
Common Wallet Mistakes to Avoid
Mistake 1: Submitting vague requests
"I need £50 for stuff" will get rejected or delayed. Be specific every time.
Mistake 2: Waiting until the last minute
The dual-approval process takes time. Your parent and teacher are busy people. Submit requests at least 3-5 days before you need the items.
Mistake 3: Trying to buy everything at once
Plan your purchases in batches that align with your milestones. Buying all your materials for three months in week one is tempting but ties up cash you might need later.
Mistake 4: Forgetting delivery costs
If the item is £12.00 but delivery is £3.99, your spending request should be for £15.99. If your request is approved for £12.00 and the total at checkout is £15.99, your card will be declined for insufficient approved amount.
Mistake 5: Not checking your card is active
Before making a purchase, check your wallet dashboard to confirm your card is unfrozen and the spending window is active. Trying to use a frozen card at a till is frustrating.
Understanding Your Wallet Dashboard
Your wallet dashboard shows you:
- Current balance — how much is available in your wallet
- Held funds — money reserved for approved but not yet completed purchases
- Transaction history — every purchase, with date, amount, merchant, and status
- Pending requests — spending requests waiting for approval
- Card status — whether your card is frozen (default) or active (during a spending window)
Your parent and teacher-mentor can see the same information in their own dashboards, so there is full transparency at all times.
After You Spend
Once you make a purchase:
- Keep the receipt — take a photo and upload it to your project
- The transaction appears in your wallet history within minutes
- Your card refreezes automatically after the 30-minute window or when the approved amount is spent
- Your balance updates to reflect the purchase
If you did not spend the full approved amount during your window, the remaining approved funds return to your general wallet balance.
